Refunds & rescheduling
These rules apply to review engagements with Application Orchestration Review. They cover packet audits and related readings only — we do not sell physical goods or software subscriptions.
Eligibility
Refunds depend on whether we have begun reading your documents and whether a reserved review slot was cancelled in time.
Timeframe
Cancellation requests should be sent to hello@app-orchestration.digital at least five business days before the agreed review start date for a full deposit refund. Requests within five business days are considered case by case.
Full refund
A full refund of fees paid is available if we cancel the engagement for reasons on our side, or if you cancel before we confirm that reading has begun and outside any non-refundable deposit window stated in your quote.
Partial refund
If you cancel after reading has started but before the findings memo is delivered, we may refund the unused portion after deducting work already performed, typically billed against hours spent on eligibility mapping and completeness checks.
Non-refundable items
- Deposits explicitly marked non-refundable in a signed quote once the review start date is within five business days
- Fees for completed memos and marked packets already delivered
- Third-party costs you asked us to incur (for example certified postage for returning originals), once spent
Refund process
Email hello@app-orchestration.digital with your name, engagement date, and reason. We confirm eligibility within five business days.
Processing time and method
Approved refunds are returned by the original payment method within fourteen business days of approval.
Cancellation and rescheduling
You may reschedule once without charge if you give at least five business days’ notice and we have capacity. Later reschedules may require a new deposit. We may reschedule if illness or force majeure prevents a timely reading; you may then accept the new date or receive a full refund of unused fees.
Deposits
Deposits secure a review slot and are applied to the final fee. Their refundability is stated in your quote and follows the timeframe above.
No-shows
If you fail to send agreed documents by the start date and do not respond within three business days, the slot may be released and the deposit retained.
Work already started
Once we have begun annotating your packet, fees for completed stages are due even if you later withdraw the application from the programme.
Materials
Original paper documents you mail to us are returned at your request; return postage may be charged. We do not purchase materials on your behalf as part of standard reviews.
Exceptions
Statutory consumer rights under Japanese law that cannot be waived remain available where they apply.
